Privacy Policy — Lil'A (Ace Role Manager)
Learn how Lil'A processes, stores, and protects personal data while handling Discord reward claims.

This policy explains what personal data the Discord bot Lil'A (the "Bot"), operated by 杭州初宇游戏科技有限公司 (Hangzhou Chuyu Game Technology Co., Ltd.) ("we", "us"), collects, why, and what you can do about it. It covers only the Bot — not the Discord platform itself, and not other bots installed in the same server.

The Chinese company name and address are the registered legal ones; the English renderings are unofficial translations provided for readability.
1. Where the Bot operates
The Bot reads messages only in ticket channels under the server's Tickets category. It does not read other channels, and it does not read or send direct messages. Messages from the Bot itself are ignored.
2. What we collect
2.1 Read while a ticket is open (not stored)
To find the backer email in a ticket, the Bot reads up to the 50 most recent messages in that ticket channel — including message text and the contents of bot embeds (title, description, fields, footer, author name), which is where the ticket system places the submitted email. This requires Discord's Message Content privileged intent.
This message content is processed in memory only and is not written to disk or retained after the ticket is handled. The exception is the specific fields listed in §2.2.
2.2 Stored in our verification log
When a reward claim succeeds, the Bot appends one row to an internal, append-only log file containing:

2.3 Backer reward list
We hold a list of backer email addresses and the reward tier each one purchased, exported from our crowdfunding platform. The Bot reads this list to match claims; it never modifies it.
2.4 What we do not collect
No passwords, no payment or card details, no IP addresses, no message history archives, no attachments, no voice data, no presence or activity data, no member lists, and no analytics or tracking of any kind.
3. Why we use it, and our legal basis

Because we are established in the People's Republic of China, the Personal Information Protection Law (PIPL) applies to this processing as well. Under the PIPL, our basis is that the handling is necessary in order to conclude or perform the contract to which you are a party (Art. 13(1)(2)) — the delivery of the crowdfunding rewards you purchased.
We do not use your data for advertising, profiling, or automated decisions with legal or similarly significant effects. Role assignment is automated, but it is fully reversible and human staff review any claim that fails.
4. Who we share it with
We do not sell, rent, or trade personal data. It is disclosed only to:
- Discord Inc. — inherently, since the Bot operates on Discord's platform and roles are applied there. Discord's own handling is governed by its Privacy Policy.
- Tencent Cloud (腾讯云) — our hosting provider, whose Singapore servers the Bot runs on and which stores the log file at rest.
- Server staff who administer rewards, on a need-to-know basis.
- Authorities, where we are legally required to disclose.
Note that the ticket system bot used in the server is a separate third-party application with its own privacy policy; the email you submit passes through it before the Bot ever sees it.
5. How long we keep it
- Message content: not retained — discarded once the ticket is processed.
- Ticket channels: deleted by the Bot approximately ten minutes after it replies, unless someone posts a further message. Deletion is performed on Discord's side and is subject to Discord's own retention.
- Verification log: retained for the duration of the Tales of Seikyu reward programme and for 24 months afterwards, because it is the only record preventing duplicate reward claims. Deleted or anonymised after that.
- Backer reward list: retained while reward fulfilment is ongoing, then deleted.
6. Where it is stored
The Bot runs on a virtual server hosted by Tencent Cloud (腾讯云) in Singapore, where the verification log is stored at rest. We are established in the People's Republic of China, so the data is also accessible to our staff from China.
Neither Singapore nor China is covered by a UK or European Commission adequacy decision. If you are in the UK or EEA, you submit your email address directly to us when you open a ticket, and we then hold and access it in the locations described above. If you would like details of the arrangements that apply to your data, contact us at the address in §11.
7. Security
The verification log is stored on an access-controlled server. Credentials are kept in environment variables outside version control, and access is limited to the operator and designated staff. No system is perfectly secure, and we cannot guarantee absolute security.
8. Your rights
Depending on where you live, you may have the right to:
- access the data we hold about you;
- rectify inaccurate data (for example a mistyped email in the log);
- erase your data ("right to be forgotten");
- restrict or object to processing;
- data portability;
- withdraw consent, where processing is based on consent;
- complain to your data protection authority (in the UK, the ICO; in the EU, your national supervisory authority).
If you are in mainland China, the PIPL gives you equivalent rights to know, access, copy, correct, supplement, and delete your personal information, to request an explanation of our handling rules, and to have your personal information transferred to another handler you designate.
To exercise any of these, open a ticket in our Discord server (https://discord.gg/zZ3beJePRZ) and tell us the email address you submitted, so we can find your record. If you are unable or unwilling to use Discord, you can write to the registered address at the top of this policy instead. We will respond within 30 days.
Please note: erasing your row from the verification log removes the record that your reward was already claimed. We may therefore need to remove the associated reward roles at the same time, to keep the claim limits meaningful.
9. Children
The Bot is not directed at children under the minimum age required by Discord's Terms of Service in your country (13, or higher where local law requires). We do not knowingly collect data from them. If you believe a child's data has been submitted, contact us and we will delete it.
10. Changes
We may update this policy. The "Last updated" date will change, and material changes will be announced in the Discord server.
